1. Information we collect

Information you provide

• Contact and professional information, such as your name, email address, club or facility, role, and the information you submit when requesting a pilot invite.
• Account and profile information when an account is created for you.
• Content you upload or create, including practice videos, images, athlete selections, clips, notes, messages, and feedback.
• Communications you send to us, including support requests and product feedback.

Information collected automatically

We may collect device and browser information, IP address, approximate location derived from IP address, referring pages, pages viewed, interactions with controls and forms, timestamps, performance data, and error or diagnostic information. We use Amplitude to help us understand product usage. We configure analytics to avoid intentionally sending athlete names, email addresses, video content, or free-form form text as analytics event properties.

Information from organizations

If a club, school, facility, coach, or other organization provides your information or makes the Services available to you, we may receive account, roster, role, and authorization information from that organization.

2. How we use information

We use personal information to:

• provide, operate, secure, and improve the Services;
• process pilot requests and communicate about access, support, or service updates;
• store and process practice video, generate candidate clips, and enable private coach review and feedback;
• authenticate users, maintain accounts, and prevent fraud, abuse, or security incidents;
• measure performance and understand how the Services are used;
• comply with law and enforce our agreements; and
• protect the rights, safety, and property of users, athletes, Thoughtswork, and others.

Where applicable law requires a legal basis, we process information to perform a contract, pursue our legitimate interests, comply with legal obligations, or with consent.

3. How we disclose information

We may disclose personal information:

• to service providers that help us host, store, analyze, secure, support, and operate the Services, including cloud storage and database providers such as Amazon Web Services and Supabase and analytics providers such as Amplitude;
• to the club, school, facility, coach, or other organization that manages or provides your access, consistent with its instructions and your role;
• when you direct us to share content, such as by creating or sending a private review link;
• to professional advisers, auditors, insurers, and similar parties where reasonably necessary;
• to comply with law, legal process, or valid government requests, or to protect rights and safety; and
• in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets, subject to appropriate safeguards.

We do not sell personal information. We do not use athlete video or uploaded content for targeted advertising. We also do not share personal information for cross-context behavioral advertising.

4. Video, athlete data, and private links

Practice videos and generated media are private by default and are used to provide the requested coaching workflow. People authorized by the relevant organization may be able to view or manage this content. A recipient with access to a private review link may be able to view the content associated with that link, so users should share links only with intended recipients and notify us promptly if a link is disclosed unintentionally.

Coaches and organizations are responsible for having any permissions or consents required to record, upload, process, and share athlete information, particularly information relating to minors.

5. Children’s privacy

The Services are designed for coaches, clubs, facilities, schools, and other authorized adults and are not directed to children under 13. Children should not create accounts or submit personal information directly to us. Athlete information, including information about minors, may be processed on behalf of an authorized adult or organization as part of the coaching service. If you believe a child has provided personal information directly to us without appropriate authorization, contact us so we can review and take appropriate action.

6. Retention

We retain personal information for as long as reasonably necessary to provide the Services, maintain legitimate business records, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods vary based on the type of information, the organization’s settings or instructions, account status, legal requirements, and operational needs. When information is no longer needed, we delete, de-identify, or securely isolate it, subject to backup and legal-retention requirements.

7. Security

We use administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Users are responsible for protecting account credentials and promptly reporting suspected unauthorized access.

8. Your choices and privacy rights

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of your personal information; to object to or restrict certain processing; or to withdraw consent. You may also have the right to appeal a decision regarding a privacy request or lodge a complaint with a privacy regulator. We may need to verify your identity and authority before completing a request. Authorized agents may submit requests where permitted by law.

You can limit certain analytics through browser or device controls. Because we do not sell personal information or share it for cross-context behavioral advertising, we do not currently offer an opt-out for those activities. We will not discriminate against you for exercising applicable privacy rights.

9. International data transfers

Thoughtswork and its service providers may process information in the United States and other countries where privacy laws may differ from those in your location. Where required, we use appropriate safeguards for cross-border transfers.

10. Third-party services and links

The Services may link to or integrate with services operated by others. Their privacy practices are governed by their own policies, and we encourage you to review them.

11. Changes to this policy

We may update this Privacy Policy as our Services or legal obligations change. We will post the updated policy and revise the effective date. If changes are material, we will provide additional notice when required by law.
